ABOUT THE ORGANIZATION
The Winter Park Health Foundation (WPHF) is a recognized leader developing and implementing innovative programs improving the quality of life and health of our community. As a private foundation, WPHF is dedicated to supporting efforts that improve the health of residents in Winter Park, Maitland and Eatonville.
THE CHALLENGE
Winter Park Health Foundation is an organization with fifty employees trying to collaborate and communicate in the modern Microsoft 365 suite. A SharePoint consultant had created a file system for them previously, but it was poorly designed and caused them problems using the tools effectively. They did not have the internal skillset to understand, plan, and implement a Microsoft 365 collaborative environment on their own, and they were nervous about hiring another outside expert.
STEPS TAKEN
The solution for this was organization-wide; each department had their own information architecture, permissions structure, and workflow requirements, but ultimately all the facets of the solution must integrate successfully. Knack Training worked with each of the departments to plan folder structures, templates, metadata, and access, and worked with the head of the organization to design the big-picture integrated environment.
THE RESULT
Previously, many of their most sensitive files were accessible by individuals who should not have access, and they were unable to share files with external contractors. This basic functional issue kept them from being productive and secure in their workspace. Then, implementing the structure successfully allowed them to automate processes that were previously manual. This saved them hours of work each week.
