THE CHALLENGE

Twice a year Trove hosted a company-wide retreat in an offsite location. Employees needed access to information about the retreat while organizers needed a centralized location and method to store information. 

Assessed issues included: 

  • Information across multiple platforms
  • Limited mobile access restricting information availability during the event
  • Manual data collection between programs leading to inefficiencies and errors
  • No centralized communication leading to missed updates

STEPS TAKEN

Knack Training collaborated closely with Trove to develop a tailored SharePoint site designed to meet their specific requirements. This comprehensive solution included 11 customized SharePoint pages that adhered to branding guidelines and design best practices. Each page featured internal links to facilitate easy access to information. Custom list formats and views were implemented to track the full conference agenda, employee enrollment in sessions, and the employee points leaderboard. Dedicated libraries were created to store organizer and employee files needed throughout the retreat. A Power BI report was integrated to display the points leaderboard, while forms were designed to collect event registration information. Additionally, various automations were set up to create attendee nametags, manage session enrollment, send personalized event agendas, and dispatch registration confirmation emails, enhancing overall efficiency and user experience.

THE RESULT

Trove’s team quickly embraced the new SharePoint site, discovering a streamlined way to manage their retreat planning. The intuitive design and integrated tools empowered them to effortlessly coordinate tasks and access important information. Post-implementation, automated processes significantly reduced administrative burdens, allowing the team to focus more on engaging and productive retreat activities.
